For the opening ceremony and dinner of the three-day IEEE Sections Congress at the SEC Glasgow, the organisers needed more than a selection of performers. They needed a trusted Scottish entertainment solution that could welcome delegates from around the world, set the tone for the conference and bring the destination into the event.
Reel Time Events designed and delivered three connected Scottish experiences across the opening night: a traditional Scottish welcome outside the SEC, an immersive PipeDown performance during dinner, and a bespoke Ceilidhoke afterparty for the IEEE USA reception.
Together, the experiences created a journey that began as delegates arrived in Glasgow and continued long after the opening speeches had finished.
Three Connected Scottish Experiences for an International Conference
Major international conferences need entertainment that supports the wider event rather than simply filling a space in the programme.
Reel Time Events brought together a team of 25 performers and coordinated the entertainment, production and logistics across the evening. Our role was to turn three very different ideas into three connected Scottish experiences that felt like one complete opening-night event.
The welcome committee gave delegates an immediate sense of arrival. PipeDown became the high-impact centrepiece of the opening dinner. Ceilidhoke then changed the pace again, inviting guests to participate in an afterparty created specifically for their conference.
This joined-up approach is at the heart of our conference entertainment services in Scotland. Part One: A Scottish Welcome Outside the SEC Glasgow
The first experience began before the delegates entered the conference venue.
Outside the main entrance to the SEC, two pipers, drummers, a juggler and two clan warriors formed an energetic Scottish welcome committee. They greeted arriving guests, posed for photographs and introduced a sense of fun from the moment delegates arrived at the SEC.
For many guests, this was their first evening in Glasgow. Before dinner had been served or the conference had formally opened, delegates were already meeting Scottish performers and engaging with the destination.
A Scottish welcome can be particularly effective at an international conference because it immediately creates a sense of place. It also generates natural photography, conversation and shared moments as guests arrive, helping a large-scale event feel warm and personal.
Part Two: PipeDown Bursts into the Opening Dinner
The hero experience of the evening was PipeDown, our immersive Scottish entertainment experience that places traditional music and dance at the forefront of a modern live production.
PipeDown brings together Scottish and Celtic music, live musicians, Highland dancing and dance music energy. Bagpipes, fiddle and accordion sit alongside mobile snare and quad drums, a female vocalist and contemporary arrangements. Traditional Highland Fling and Sword Dance performances can flow into modern musical influences and recognisable covers, creating a distinctive show for an international conference audience.
For the IEEE Sections Congress, the seven-piece PipeDown band was joined by 12 Scottish Highland dancers.
The musicians burst into the room while the dancers appeared unexpectedly from different locations. Four groups of three dancers moved through the hall, performing at different points amongst more than 150 dinner tables.
This was not a performance viewed only from a distant stage. PipeDown unfolded around the delegates, placing live Scottish music and Highland dancing in the centre of the conference dinner.
A Musical and Visual Journey Through Scotland
Behind the live performers, the SEC’s large screens carried delegates on a journey through Scotland.
Reel Time Events had created visual content featuring Scottish landscapes and beauty spots, synchronised with PipeDown’s music and live show. As the performance developed in the room, the screen content transported the international audience beyond the conference centre and into the wider destination.
This combination of Scottish music, modern production, Highland dance and destination imagery created a powerful opening-ceremony experience. It allowed delegates to discover Scotland during their first night at the conference, even before they had an opportunity to explore Glasgow and the rest of the country themselves.
PipeDown’s Mobility and Production Benefits
One of PipeDown’s greatest strengths for conference organisers is its mobility and minimal production footprint.
Every instrument in the show is mobile. There is no static drum kit, no bulky backline and no permanent stage set to install. The musicians use radio microphones, allowing them to appear from different locations, move freely between guests and even lead delegates from one area of a venue to another.
For conference production teams, this creates considerable flexibility. The main stage can remain clear for speakers, presentations and awards, while PipeDown can move into the event almost instantly. The musicians soundcheck before guests arrive, then burst into the room when the moment is right, without a lengthy stage changeover interrupting the conference programme.
Mobility also changes the relationship between the performers and the audience. PipeDown can surprise delegates, perform amongst them and, when required, physically move a group by encouraging guests to follow the band.
This makes PipeDown a particularly effective Scottish entertainment solution for conference opening ceremonies, gala dinners, welcome receptions and transitions between event spaces. It delivers the energy and impact of a large live production without requiring a large stage footprint.
Delivering at Scale at the SEC
Entertaining 1,500 seated guests while dinner service, speeches, screen content and event production continue around the performance requires close coordination.
The SEC team’s professionalism was outstanding. Its production capabilities, loading access, catering operation and flexibility allowed the different elements of the opening night to work together smoothly. Serving dinner to 1,500 delegates while supporting a large immersive entertainment production is a significant undertaking, and the venue team delivered exceptional service.
Reel Time Events has worked at the SEC campus on many occasions, including with PipeDown for the Commonwealth Games Closing Ceremony at the neighbouring OVO Hydro. That familiarity with major Glasgow event venues helps us design entertainment that works with the building, production team and conference schedule.
The SEC provided the setting and expertise required for an event of this scale, while Reel Time Events created the three connected Scottish experiences that brought the opening evening to life.
Part Three: Turning a Client Idea into Ceilidhoke
Following the opening dinner, approximately 600 guests attended the IEEE USA reception.
The client wanted to combine two very different elements. Scottish ceilidh dancing was important because the conference was taking place in Glasgow, while karaoke was already a popular part of the organisation’s conference culture.
Reel Time Events took that idea and created Ceilidhoke.
Part ceilidh and part karaoke, Ceilidhoke was developed specifically for this event. The Reel Time Ceilidh Band led the Scottish dancing, while the karaoke element had its own karaoke host and professional sound production. Lighting, PA, performers and event management brought both sides of the concept together as one afterparty.
Rather than bringing guests a standard entertainment package, Reel Time Events created a solution around what this particular international audience already enjoyed.
It was the first time we had delivered Ceilidhoke, but it did exactly what the organisers wanted. Guests could experience Scottish dancing, enjoy their conference karaoke tradition and finish the opening night as active participants rather than spectators.
Scottish Entertainment Designed Around the Conference
The success of the evening did not come from any one performer or isolated part of the programme.
PipeDown was the hero experience, but the wider Reel Time Events role was to make every element connect. We coordinated 25 performers, worked alongside the client and venue production teams, and designed an entertainment journey that developed naturally from delegate arrival to dinner and afterparty.
For conference organisers, this is an important distinction.
Booking individual acts can fill several slots in an itinerary. Creating three connected Scottish experiences gives the opening night a clear identity and helps international delegates build a genuine connection with Scotland.
