Creating an unforgettable Scottish welcome for 1,500 international delegates does not happen by accident.

For the opening ceremony and dinner of the three-day IEEE Sections Congress at the SEC Glasgow, the organisers needed more than a selection of performers. They needed a trusted Scottish entertainment solution that could welcome delegates from around the world, set the tone for the conference and bring the destination into the event.

Reel Time Events designed and delivered three connected Scottish experiences across the opening night: a traditional Scottish welcome outside the SEC, an immersive PipeDown performance during dinner, and a bespoke Ceilidhoke afterparty for the IEEE USA reception.

Together, the experiences created a journey that began as delegates arrived in Glasgow and continued long after the opening speeches had finished.

Three Connected Scottish Experiences for an International Conference

Major international conferences need entertainment that supports the wider event rather than simply filling a space in the programme.

Reel Time Events brought together a team of 25 performers and coordinated the entertainment, production and logistics across the evening. Our role was to turn three very different ideas into three connected Scottish experiences that felt like one complete opening-night event.

The welcome committee gave delegates an immediate sense of arrival. PipeDown became the high-impact centrepiece of the opening dinner. Ceilidhoke then changed the pace again, inviting guests to participate in an afterparty created specifically for their conference.

This joined-up approach is at the heart of our conference entertainment services in Scotland. We work with conference organisers, event agencies and destination management companies to create Scottish entertainment solutions around the audience, venue, programme and production requirements of each event.

Part One: A Scottish Welcome Outside the SEC Glasgow

The first experience began before the delegates entered the conference venue.

Outside the main entrance to the SEC, two pipers, drummers, a juggler and two clan warriors formed an energetic Scottish welcome committee. They greeted arriving guests, posed for photographs and introduced a sense of fun from the moment delegates arrived at the SEC.

For many guests, this was their first evening in Glasgow. Before dinner had been served or the conference had formally opened, delegates were already meeting Scottish performers and engaging with the destination.

A Scottish welcome can be particularly effective at an international conference because it immediately creates a sense of place. It also generates natural photography, conversation and shared moments as guests arrive, helping a large-scale event feel warm and personal.

Part Two: PipeDown Bursts into the Opening Dinner

The hero experience of the evening was PipeDown, our immersive Scottish entertainment experience that places traditional music and dance at the forefront of a modern live production.

PipeDown brings together Scottish and Celtic music, live musicians, Highland dancing and dance music energy. Bagpipes, fiddle and accordion sit alongside mobile snare and quad drums, a female vocalist and contemporary arrangements. Traditional Highland Fling and Sword Dance performances can flow into modern musical influences and recognisable covers, creating a distinctive show for an international conference audience.

For the IEEE Sections Congress, the seven-piece PipeDown band was joined by 12 Scottish Highland dancers.

The musicians burst into the room while the dancers appeared unexpectedly from different locations. Four groups of three dancers moved through the hall, performing at different points amongst more than 150 dinner tables.

This was not a performance viewed only from a distant stage. PipeDown unfolded around the delegates, placing live Scottish music and Highland dancing in the centre of the conference dinner.

A Musical and Visual Journey Through Scotland

Behind the live performers, the SEC’s large screens carried delegates on a journey through Scotland.

Reel Time Events had created visual content featuring Scottish landscapes and beauty spots, synchronised with PipeDown’s music and live show. As the performance developed in the room, the screen content transported the international audience beyond the conference centre and into the wider destination.

This combination of Scottish music, modern production, Highland dance and destination imagery created a powerful opening-ceremony experience. It allowed delegates to discover Scotland during their first night at the conference, even before they had an opportunity to explore Glasgow and the rest of the country themselves.

PipeDown’s Mobility and Production Benefits

One of PipeDown’s greatest strengths for conference organisers is its mobility and minimal production footprint.

Every instrument in the show is mobile. There is no static drum kit, no bulky backline and no permanent stage set to install. The musicians use radio microphones, allowing them to appear from different locations, move freely between guests and even lead delegates from one area of a venue to another.

For conference production teams, this creates considerable flexibility. The main stage can remain clear for speakers, presentations and awards, while PipeDown can move into the event almost instantly. The musicians soundcheck before guests arrive, then burst into the room when the moment is right, without a lengthy stage changeover interrupting the conference programme.

Mobility also changes the relationship between the performers and the audience. PipeDown can surprise delegates, perform amongst them and, when required, physically move a group by encouraging guests to follow the band.

This makes PipeDown a particularly effective Scottish entertainment solution for conference opening ceremonies, gala dinners, welcome receptions and transitions between event spaces. It delivers the energy and impact of a large live production without requiring a large stage footprint.

Delivering at Scale at the SEC

Entertaining 1,500 seated guests while dinner service, speeches, screen content and event production continue around the performance requires close coordination.

The SEC team’s professionalism was outstanding. Its production capabilities, loading access, catering operation and flexibility allowed the different elements of the opening night to work together smoothly. Serving dinner to 1,500 delegates while supporting a large immersive entertainment production is a significant undertaking, and the venue team delivered exceptional service.

Reel Time Events has worked at the SEC campus on many occasions, including with PipeDown for the Commonwealth Games Closing Ceremony at the neighbouring OVO Hydro. That familiarity with major Glasgow event venues helps us design entertainment that works with the building, production team and conference schedule.

The SEC provided the setting and expertise required for an event of this scale, while Reel Time Events created the three connected Scottish experiences that brought the opening evening to life.

Part Three: Turning a Client Idea into Ceilidhoke

Following the opening dinner, approximately 600 guests attended the IEEE USA reception.

The client wanted to combine two very different elements. Scottish ceilidh dancing was important because the conference was taking place in Glasgow, while karaoke was already a popular part of the organisation’s conference culture.

Reel Time Events took that idea and created Ceilidhoke.

Part ceilidh and part karaoke, Ceilidhoke was developed specifically for this event. The Reel Time Ceilidh Band led the Scottish dancing, while the karaoke element had its own karaoke host and professional sound production. Lighting, PA, performers and event management brought both sides of the concept together as one afterparty.

Rather than bringing guests a standard entertainment package, Reel Time Events created a solution around what this particular international audience already enjoyed.

It was the first time we had delivered Ceilidhoke, but it did exactly what the organisers wanted. Guests could experience Scottish dancing, enjoy their conference karaoke tradition and finish the opening night as active participants rather than spectators.

Scottish Entertainment Designed Around the Conference

The success of the evening did not come from any one performer or isolated part of the programme.

PipeDown was the hero experience, but the wider Reel Time Events role was to make every element connect. We coordinated 25 performers, worked alongside the client and venue production teams, and designed an entertainment journey that developed naturally from delegate arrival to dinner and afterparty.

For conference organisers, this is an important distinction.

Booking individual acts can fill several slots in an itinerary. Creating three connected Scottish experiences gives the opening night a clear identity and helps international delegates build a genuine connection with Scotland.

Why Highland Games Are Becoming a Must-Have for Scottish Destination Weddings

As destination weddings continue to grow in popularity, many couples are turning their wedding day into a full wedding weekend. For guests travelling thousands of miles to celebrate in Scotland, the experience is about far more than the ceremony itself. Last Friday perfectly illustrated this trend.

The Reel Time Events team found ourselves delivering two separate Highland Games experiences at two of Scotland’s most exclusive wedding venues, Penicuik House and Hopetoun House. While the couples, venues and wedding planners were different, the goal was remarkably similar. Both American couples wanted to create an unforgettable Scottish destination wedding experience that would bring their guests together before the big day.

Scottish Wedding Weekends Are Growing in Popularity

For many international couples, particularly those travelling from the United States, a luxury wedding in Scotland has become a multi-day celebration rather than a single day’s event.

Guests often travel from across America and beyond, making the wedding itself part of a much larger experience. Families who have never met before come together, old friends reconnect, and new friendships are formed over several days of celebrations.

Both weddings we supported last week embraced this idea perfectly. In both cases, the wedding planners worked closely with the couples to create Scottish experiences that would encourage guests to interact, relax and get to know one another long before the wedding ceremony began.

At Penicuik House, B & C had exclusively hired the stunning house and grounds for their wedding celebrations. The day before the wedding, around 120 guests gathered for a welcome lunch at the High Pond,  followed by an afternoon of Highland Games and Scottish experiences.

Meanwhile at Hopetoun House, L & F welcomed more than 130 guests from across the United States, Europe and beyond for an afternoon of activities before guests enjoyed a tea ceremony and later dined together under a spectacular stretch tent overlooking the estate.

Although every destination wedding is unique, both couples recognised something important: helping guests get to know one another before the wedding day creates a far more relaxed, connected and enjoyable celebration.

Creating Clans and Breaking the Ice

One of the most successful aspects of both events was the way guests were mixed together into clans.

Rather than grouping people with friends and family they already knew, both couples deliberately designed the teams to encourage interaction between different families, friendship groups and generations.

Within minutes, complete strangers were cheering each other on, celebrating victories and plotting how to win the next Scottish challenge.

By the end of the afternoon, guests who had only just met were working together as if they had known each other for years.

For a Scottish destination wedding, where many guests may be meeting for the first time, this kind of shared experience is incredibly valuable.

Highland Games at Penicuik House

Set amongst acres of beautiful countryside just outside Edinburgh, Penicuik House provided the perfect setting for a traditional Highland Games experience and a luxury Scottish destination wedding near Edinburgh.

Bathed in August sunshine, the grounds provided an ideal backdrop for an afternoon of outdoor Scottish activities.

Guests were welcomed by the sound of the bagpipes before dividing into clans and competing in a series of classic Scottish challenges including:

• Caber Tossing
• Scottish Stone Putt
• Hammer Throwing
• Tug of War

Alongside the Highland Games, guests also enjoyed an interactive falconry experience. Working with one of our trusted falconers, guests had the opportunity to get hands-on with magnificent birds of prey and learn more about an ancient skill that continues to fascinate visitors to Scotland.

The combination of Scottish sport, traditional music and falconry created a memorable afternoon that perfectly introduced guests to Scottish culture ahead of the wedding celebrations.

Our involvement also extended beyond the welcome event itself. The couple had booked one of our traditional Scottish bagpipers for their wedding ceremony the following day, before finishing the weekend with a Reel Time Events DJ for the after-party. It was a fantastic example of how a Scottish destination wedding can weave together multiple experiences across an entire wedding weekend.

A Luxury Wedding Celebration at Hopetoun House

Later that same day, our team headed to the magnificent Hopetoun House estate for a completely different, but equally memorable, celebration.

With warm August weather and spectacular views across the estate, guests were able to make the most of a full afternoon of Scottish experiences.

Guests once again formed clans and competed across a range of activities including:

• Caber Tossing
• Scottish Stone Putt
• Hammer Throwing
• Archery
• Scottish Dancing Workshop 
• Tug of War
  

Throughout the afternoon, our bagpiper and MC helped guide guests through the activities before everyone prepared for the evening celebrations.

The event produced plenty of memorable moments.

One guest achieved a perfect score in the archery competition, while one of the biggest cheers of the afternoon came when a two-year-old guest, with a little help from the groom, successfully managed a caber toss.

Winning teams were rewarded with miniature bottles of whisky, younger champions received shortbread prizes, and the losing teams were presented with the traditional wooden spoon.

A Phone Call We Couldn’t Say No To

Every so often, a booking comes along that is a little bit different.

Last week, the Reel Time Ceilidh Band had the privilege of performing at the Glasgow 2026 Commonwealth Games Closing Ceremony at the OVO Hydro, helping create a spectacular Scottish celebration for athletes and audiences from across the Commonwealth. The invitation came with a simple brief: bring Scottish energy, bring music and get the party started.

For a band that spends much of the year performing at conferences, gala dinners, corporate events and ceilidhs across Edinburgh and Glasgow, being asked to play on one of the biggest stages in Scotland was a special moment.

Teaching a Ceilidh in Just One Week

One of the biggest challenges wasn’t the performance itself.

The production included a large-scale ceilidh sequence involving volunteer performers who had never danced together before. Working alongside the show’s choreography team, we helped teach and prepare the dancers, transforming them from enthusiastic beginners into a performance-ready cast in just a matter of days.

Seeing the rehearsal process come together was remarkable. By show night, the ceilidh looked like it had been rehearsed for months rather than days.

The Challenge of a Mobile Ceilidh Band

Unlike a traditional ceilidh, this wasn’t a stage show where the band could simply set up and play.

The production team needed a fully mobile four-piece ceilidh band that could move quickly on and off stage without leaving a stage footprint. Every element had to be designed around the flow of the ceremony.

The result was a fast-moving, high-energy performance featuring bagpipes, accordion, guitar and mobile drums, all built to create a modern Scottish celebration inside one of the country’s most iconic venues.

As we often say:

“No Scotland, No Party”

Creating the Soundtrack

Bringing the music together was a production in itself.

The performance used a specially created backing track that evolved throughout rehearsals. Sections were edited, adjusted and refined to ensure they matched the choreography, lighting cues and timing requirements of the ceremony.

A huge amount of credit goes to Will Marshall, whose musical arrangements helped shape the final performance. His ability to combine traditional Scottish influences with modern event production requirements was a major reason the segment worked so effectively.

It’s Ceilidh Time!

One of my favourite moments came when I was handed the microphone.

As well as performing with the band, I was given the role of introducing and calling the ceilidh, helping encourage athletes and performers onto the dance floor.

Standing in front of thousands of people inside the OVO Hydro and shouting “It’s Ceilidh Time!” is not something that happens every day.

Thankfully, the crowd were up for it.

A Ceilidh Meets GBX

Then came a moment that may well have been a first.

As our ceilidh segment reached its finale, George Bowie of GBX and Clyde 1 fame picked up elements of our track and launched into a high-energy transition that led directly into the unofficial Scottish anthem, Bits and Pieces.

It was a great pleasure to help the European Academy of Allergy and Clinical Immunology – EAACI with their welcome ceremony at the Scottish Event Campus (SEC), and march the delegates over to Glasgow Science Centre for their networking reception.

For the Scottish conference welcome ceremony, we had a bagpiper and 3 dancers on stage, performing a highland fling and a reel. This segued into a March over the River Clyde, with 2 pipers, 2 Scottish drummers and 3 dancers waving flags to lead the 1,700 delegates over to their Civic Networking reception.

At the Glasgow Science Centre, the guests enjoyed some Scottish music, along with kilted jugglers and stilt performers, before entering for their Drinks reception.

For the Conference Gala Dinner

We provided a Bagpiper and Drummer on arrival. –  (The conference did have a Bee mascot, who kindly lent the bagpiper his mascot head for this video!)

A clarsach duo to play during the drinks reception. And then pop and rock hits with the Scraggly Cats band after dinner.

Thanks to the Glasgow Convention Bureau for all the hard work bringing this conference to the city.
